This Privacy Policy governs how DmmS collects, uses, maintains, and discloses information collected from DmmS Customers ("Customers"), Customer employees, website visitors, DmmS employees, DmmS contractors, DmmS vendors, and Job Applicants. This Privacy Policy applies to the Site and all products and services offered by DmmS, including our multi-tenant document management SaaS platform ("Service").

For purposes of this Privacy Policy, "Personal Data" shall mean any information provided to DmmS related to an identified or identifiable individual.

Unless otherwise stated in this Privacy Policy, this policy shall be deemed to apply to DmmS and our affiliates, and all references to "we," "us," and "our" shall refer to DmmS and those affiliates.


Personal Identification Information

We may collect personal identification information from Users in a variety of ways, including but not limited to, when Users visit our site, subscribe to the newsletter, respond to a survey, fill out a form, or in connection with other activities, services, features or resources we make available on our Site. Users may be asked for, as appropriate, name, email address, mailing address, phone number. Users may visit our Site anonymously. We will collect personal identification information only if Users voluntarily submit such information.

DmmS, in delivering its Human Resource Management Services, also processes data gathered from its Customers about their employees and contractors in accordance with Customer contracts. This may include employee name, ID, time and attendance, and scheduling information.

From Job Applicants, Employees, and Contractors

DmmS collects Personal Data from job applicants to conduct hiring and recruiting processes. For employees, we collect Personal Data to fulfill HR obligations, such as onboarding, payroll, benefits, government compliance, IT security, and health and safety.

Non-Personal Identification Information

We may collect non-personal identification information about Users whenever they interact with our Site. This may include browser type, device, operating system, ISP, and similar technical details.

Web Browser Cookies

Our Site may use cookies to enhance User experience. Users can set their web browsers to refuse cookies or alert them when cookies are being sent. Some parts of the Site may not function properly if cookies are disabled.

Do Not Track: Our Site does not currently respond to "Do Not Track" browser settings.

How We Use Collected Information

DmmS may collect and use Users' personal information for purposes including:

  • Improving customer service and support
  • Operating and improving our website and platform
  • Running promotions, contests, and surveys
  • Sending periodic emails

If you are a Customer employee, we process your data only as instructed by your employer under contract.

If you are a job applicant or employee, your data is processed to fulfill HR and recruiting functions. Data may be accessed by authorized staff and subcontractors in the U.S. and other jurisdictions as necessary.

SaaS-Specific Practices

Document Access and Storage
  • We do not store customer documents permanently.
  • Users connect their own cloud storage accounts (e.g., Google Drive, Dropbox).
  • Documents are accessed on-demand, downloaded temporarily for analysis, and deleted within 12–24 hours after processing.
Document Analysis and Retention
  • We analyze documents using third-party LLM (Large Language Model) providers.
  • Processed results (e.g., summaries) are stored securely on our servers.
  • These results are version-controlled and searchable within tenant boundaries.
File Previews and Collaboration

The Service supports document previews, sharing, and team collaboration within tenant constraints.

Mobile and API Access

API and mobile access are planned for future releases and may affect this policy.

Cookies and Tracking

We use cookies and tracking technologies on the public website for analytics and marketing.

Data Security

We use industry-standard security practices to protect personal data:

  • Encryption in transit and at rest
  • Access controls and audit logging
  • Tenant-based data isolation
  • Regular monitoring and updates

Sharing Your Personal Information

We do not sell or rent Users' personal data. We may share:

  • Aggregated, non-personally identifiable data with business partners
  • Personal Data with service providers as needed to deliver our services
  • Data with legal authorities as required by law
  • Personal Data with your consent or contractually obligated partners

In case of mergers or business transitions, user data may be transferred as part of assets.

Access and Control of Personal Data

  • Site visitors can control what information they submit.
  • Customer employees should contact their employer for data inquiries.
  • DmmS employees and applicants may contact HR for access, correction, or deletion requests.

Privacy Policy Exclusions

This policy does not apply to:

  • Unsolicited public information
  • Publicly shared profile data
  • Data collected by third-party links on our site

Children's Privacy

Our services are not intended for children under 18. If we discover such data, we will delete it.

Retention of Information

  • Temporary documents: Deleted within 12–24 hours
  • Analysis results: Retained based on account needs and legal requirements

Biometric Data Privacy

DmmS does not collect biometric data. If a Customer uses biometric devices via our platform, the Customer controls that data. DmmS only hosts data in secure environments as needed.
